Job Description

  1. Act as a secretary, managing the Chief’s calendars and schedules, screening callers and arranging appointments, meetings, and conferences, as directed.
  2. Design, establish and maintain a management information system, including physical and electronic files, for the department. Prepare reports as directed.
  3. Respond to inquiries on the telephone and in-person with visitors to the department.
  4. Transcribe dictated or written materials, using shorthand, dictation equipment or handwritten drafts. Takes minutes at meetings, as required.
  5. Initiate correspondence on a variety of matters requiring an in-depth understanding of Company programs, department policies and procedures and Company ordinances. Format, create, produce and edit correspondence and other written materials.
  6. Operate office equipment including copiers, facsimile machines, and computers; input and retrieve data and text; organize and maintain disk storage and filing.
